How to handle event cancellations
Cancel an event — auto-refunds all paid attendees, voids tickets, sends a cancellation email.

Steps
- Owner Portal → Events → click into the event
- Click Cancel event (red button at the top)
- Add a short reason (shown to attendees in the cancellation email)
- Confirm
What happens
- The event is marked Cancelled and disappears from search results immediately
- The page on the public site shows a "This event has been cancelled" banner; new bookings are blocked
- Existing tickets stay valid until you refund (see next step)
Refunding the attendees
Cancelling the event doesn't auto-refund or auto-email — you trigger that explicitly:
- Same event → Attendees tab
- Click Refund all paid attendees
- Each paid attendee gets the refund + a confirmation email; their ticket flips to Refunded
When to cancel vs reschedule
- Cancel if the event won't run at all
- Reschedule (edit the date) if it's just moving — attendees keep their tickets and get a notification email
Refund policy on cancellation
When YOU cancel, refunds are automatic and full. The 5% MyNextGym platform fee comes out of your payout balance — same as standard refund policy.
If the BUYER cancels (asks you for a refund), you decide whether to grant it via the per-attendee refund flow.
Communication tip: A short, honest reason in the cancellation email goes a long way. "Trainer is unwell" or "Insufficient bookings" reads better than no explanation.
